A tree grows in cycles called growth rings. The cycles are called Frustra. You will notice that the Frustra are rings and as one area grows the whole circumference of the tree grows. So for example: as the pressure builds at work to get more done in less time it also puts pressure on a relationship. The whole person grows. Now if one of the seven areas of life becomes stagnant, for example health, it becomes the toxic swamp that is not moving and holding back growth in the other areas. So when we grow in one area is essential that we grow in all seven. There is one constant you can be guaranteed in life and that is growth is constant. It’s the purpose of life. Some people think the purpose of life is peace or retirement but it’s not the purpose of life is growth and when we’re green we are growing and when we are ripe we rot.
Why is this important? Well, at work the volume of work we have to handle increases constantly and if we throw time added will just work longer and longer hours in order to deal with it. We know that this will eventually cause burnout and exhaustion. We also believe we know the best way to do this work and even when we tried to delegated to others we struggle because it takes just as much time to delegate something as does to do it ourselves. Therefore we recognise there has to be a better way otherwise we will have more and more work with less and less time and we will become got to people in the midst of a love to environment. That’s when most people start talking about changing jobs because they can’t handle the volume of work and their unprepared to change the process with which they approach that work.
I usually make a very strong claim in front of any individual who was claiming to have not enough time and too much work. I believe I can do their work in half the time.
Firstly, I would go through their task list and recognise what I could dump. Secondly, I would take 100% of the emotion out of what they are doing which would reduce the time it takes to do things and in some cases avoid doing them twice. Thirdly, I would be super relaxed, I’d achieve that by having a big picture mindset rather than to be drilling down constantly buried in the work. But that’s just the start of it I would call this low hanging fruit. The real opportunity comes with organise, supervise, deputise.
Nature never destroys anything she just builds a new one on top of the old one greater in consciousness less in number. What does this have to do with business and time management? Well, the answer is quite fascinating. Nature systematise is anything that it does twice. In other words, nature is always looking to automate. Since the beginning of time more and more information has become embedded in our subconscious brain. We do things more and more automatically. But in workflow we haven’t quite cottoned on to this idea. Organised supervised deputise means exactly this:
Take whatever work you are doing and work out how you can organise it into such a way that it becomes a system. If you are doing strategy analysis for a large corporation it may turn out to be a one-off hard task to develop a flow sheet that handles a multiplicity of variables but, the next time you work on a large corporation strategy analysis if you had done the previous job accurately you could pull that spreadsheet and apply the numbers and do the work in a fraction of the time. Whether it’s human development in the work that I do creating columns and process to systematise what takes therapists three years to do and I can do in a few hours, or whether it’s a culture change programme in an organisation, or a financial plan, if you do it twice, organise it and therefore systematise it.
The second step is supervised. Too many people delegate work that is disorganised to others. Delegate for many people means dump. If you are a team leader and you dump responsibility on somebody in the team it means that you are asking them to invent the process of resolution. They may as well be the team leader. To supervise someone means that you have organised the work in such a way through your past experience that you have created a system and you teach that individual the system so that they can implement the system under your supervision until finally they are competent, cared for and guided to the degree that you can do the final step, deputise.
